Tip: On the Growth and Business plans, AI replies write only from the information you give them. Put in your opening hours, the membership types and the tour times, and tell it never to promise a particular desk is free: it should say a person will confirm.

From a comment to a tour and a membership

  1. The first DM asks what the person needs, a desk or a team space, and which days they would use it.
  2. The card opens your own tour-booking page. Keep your tour slots and your waiting list in the system you already use for them, and update the page when they change.
  3. Offer a day-pass guide or a neighbourhood sheet for an email. Export the list as a CSV and write to it from your own email tool before your next open day.
  4. Use the one reminder for people who asked about prices and stopped replying. Most are comparing three spaces in one afternoon.
  5. Reply yourself to anyone who mentions a team of five or more, a long-term lease or a request for a custom arrangement. These are your largest enquiries.

Rules and risks to check

  • Membership terms. Consumer rules on deposits, notice periods and auto-renewing contracts differ by country. Make sure what the PRICES card says matches the contract people will sign, and link to the full terms.
  • Availability. A card that says “desks available” when they are not wastes a visitor’s trip. Say how current the information is, or ask people to confirm a date with you.
  • Member privacy. Do not show members’ faces, names, laptop screens or whiteboards in posts without their permission, and keep one member’s details out of another’s DMs.
  • Address and business rules. Whether a member may use the space’s address for company registration or for mail depends on local rules and your own terms. Do not answer it automatically.
  • Safety and capacity. Fire and occupancy limits apply to your rooms. Do not advertise a room for more people than it is allowed to hold.
  • Meta’s limits. One private reply per comment, within 7 days of the comment, and automated messages only reach a person within 24 hours of their last message.

Can the automatic reply tell people if a desk is free?

Only if you keep the information current by hand, and it is risky. Desks fill and free up daily. A safer set-up asks what they need, sends the tour times and says a person will confirm availability for their dates.

Should members and prospects use the same inbox?

They can, but they should not get the same replies. Use separate keywords for prospects, such as TOUR and PRICES, and tell members to use your member channel for support. Anything that is not a keyword reaches you in the normal inbox.

Can the first DM include my tour-booking link?

Not after a comment. Instagram allows only plain text as the first private message to a commenter, so the first message asks what they need. When they reply, the card with the booking link follows. A DM keyword or Story reply can get the card straight away.

Can I show members in my Reels?

Ask first, and get a yes you can point to later. People in a shared space often do not expect to appear on a business account. Film empty rooms, or ask members who volunteer, and leave out any screens or papers in the frame.

Does it work for a Facebook Page for my space?

Yes. Comments on Page posts and Messenger messages get the same keyword replies. Story replies and the follower gate are Instagram only, and it does not work with WhatsApp, personal Instagram accounts or Threads.
