Instagram auto-replies for event venues

- When you run viewings, how long a show-round takes, where to park and the page to book a slot.

- Every date still open this year and next, marked by day of the week, so people see at once whether their Saturday has gone.
- PRICES
- Hire fees by room, day and season, the minimum spend where there is one, and exactly what the fee includes.
- LAYOUT
- Floor plans for each room with seated, standing and theatre-style capacities, and where the bar and dance floor go.
- SUPPLIERS
- Your recommended caterers, DJs and florists, and the rules for outside suppliers: access times, power, kitchen use and corkage.
- XMAS
- Christmas party nights: shared-night dates for smaller groups, private-hire packages, menus and the deposit per head.
- ACCESS
- Step-free routes, lifts, accessible toilets, parking bays and the nearest drop-off point, for guests who need them.

What a venue is asked before anyone visits
Venue enquiries arrive in a predictable order: the date, the numbers, the price, then everything else. The first three have fixed answers that only change when you change them, which makes them a good fit for automatic replies. Holds, discounts and unusual requests are where your events team earns its keep.

Tip: Put the curfew and any noise limit on every card. A couple who only learns at the viewing that music stops at 11pm starts wondering what else wasn't mentioned.
Content that fills the viewing diary
- A walk-through in one take, from the gate to the dance floor, with TOUR. Film it at the hour most events start, so the light matches what guests will see.
- One room set three ways (dinner, ceremony, conference) as a carousel, with LAYOUT.
- A time-lapse of a turnaround, from stacked chairs to a full set-up, with SUPPLIERS for anyone bringing their own team.
- A Story in late summer listing this year's Christmas party nights, with XMAS in the text.
- A Story of the last open Saturdays, with DATES. Post it when it's true: people notice invented scarcity.
- A real event shot by the client's photographer, posted with permission and credited, with PRICES in the caption.
Demand is lopsided. Popular Saturdays in peak season can book a year or more ahead, while midweek dates and January to March sit empty. In India, the auspicious wedding dates in each season sell out first. Point DATES and the off-peak price list at the days you can still fill.
Tip: Give each card a tracked link. The click counts show whether walk-throughs or floor plans send more people to the viewing form, so you know which post to make next.
From first DM to signed contract
- TOUR, DATES or PRICES answers the first question, and the reply tells you the month, the guest count or the kind of event.
- The card opens your enquiry or viewing form. Ask for the date, numbers and budget there, where they won't get lost between chat messages.
- At the viewing, offer a hold if you use them, with its expiry in writing. Holds are a conversation for a person, never an auto-reply.
- Contract and deposit go by email with the supplier pack, so the planner and caterer get the same rules as the client.
- On the night, guests post Stories and tag the venue. A story-mention auto-reply can thank them and offer the brochure, since a guest who enjoyed the room may be planning something of their own.
In India, the DMFast store can hand out the brochure as a lead magnet in exchange for an email and, if you ask for it, a phone number. That gives your sales team a number to call, something Instagram's 24-hour messaging rule never will.
Settle these before you automate
- Quote the capacity your licence or fire safety assessment allows, not the most chairs the room has ever held.
- Keep DATES current. Offering a date that sold last week costs more goodwill than a slow reply would have.
- Agree with each client what you may post, and ask before showing guests' faces. The photographer usually owns the copyright in event photos, so ask before reposting and credit them.
- XMAS will answer any comment containing it, “xmas vibes” included. Attach it to the party-night posts only.
- Instagram allows one private reply per comment, sent within 7 days, and at most 750 private replies an hour per account. DMFast stays below 700 and queues the rest, which matters when a walk-through suddenly travels.
- On Facebook, a Page's daily Messenger allowance is 200 times the number of people who have messaged it.

Yes, on Instagram. A story-mention auto-reply can thank whoever tagged the venue, and DMFast answers each person once a day per auto-reply, so a guest who posts ten Stories gets one message, not ten.
Most of our enquiries come through Facebook. Does this work there?
Yes, for comments on your Page's posts and messages in Messenger, and the same keywords work in both places, so PRICES answers on Instagram and Facebook alike. Story replies, Story mentions and the follow gate are Instagram-only, so the DATES Story and the guest-tag thank-you stay there.
Can the first message include our brochure?
Not when someone comments. Instagram and Messenger only allow plain text in the first message to a commenter, so it asks a question and the brochure follows as a card once they answer. DM keywords and Story replies are different: the person wrote first, so the card can come straight after.
We run several venues. Does each need its own plan?
No. Each venue's Instagram account or Facebook Page counts as one account. Pro covers three; Business covers ten and adds five seats, so each venue's coordinator can log in.
