Instagram auto-replies for personal trainers
Instagram DM automation answers the messages a personal trainer can't get to mid-session: prices, free slots, where you train and what a first session involves. Someone comments or messages a word like PRICE, SLOTS or FORM, and the details reach them while you're still counting another client's reps.

Ask people to comment one word in your caption or video. Each word sends something different.
- PRICE
- Session and package prices, how block bookings work and your cancellation policy, all on one card.

- The times you still have free this week, for people who reply to your availability Story.

The questions that pile up while you're training someone
A trainer's phone spends most of the day in a pocket or a locker. The hours people have time to message, before work, at lunch and after work, are the same hours clients book you. Sort what arrives into two piles.
Safe to automate
- “How much is a session?” Send PRICE, with packages and your cancellation policy.
- “Where do you train?” The gym's name and address, and whether clients need their own membership.
- “Any mornings free?” The times from this week's SLOTS Story.
- “I've never been to a gym. Is that OK?” The START guide to a first session.
Answer yourself
- Anything about an injury, a health condition, pregnancy or medication. Suggest they also speak to a doctor or physio.
- Requests to move an existing client's session.
- Discounts and payment plans, which depend on the person.
- Home or outdoor sessions outside the area you usually cover.
Posts that bring in local clients
- Form-fix Reels with FORM. Film at a quiet time, with the client's consent, and keep other members out of shot.
- A walk-through of a first session for people who feel nervous about gyms, with START.
- A Monday Story listing two or three free slots, with SLOTS in the text and a location sticker so viewers know which gym you train at.
- A client's personal best, posted with their permission, with PARTNER for anyone who'd rather train with a friend.
- An outdoor group session announced when the evenings get lighter, with BOOTCAMP for the meeting point and price.
- The warm-up you use every session, filmed start to finish, with WARMUP for the printable card.
Tip: Don't use FIRST as a keyword. Plenty of people comment “first” just to be first under a post, and every one of them would get your new-client message.
From DM to first session
- The auto-reply sends prices, times or the first-session guide, with a card that opens your booking page.
- Before the first session, collect health information through your own intake form, such as a PAR-Q, rather than in Instagram DMs.
- After a good session, invite the client to tag you if they share it. The story-mention auto-reply thanks them and offers the bring-a-friend pass.
- Keep session reminders off Instagram. Automated messages can only reach someone within 24 hours of their last message, so “see you at 7 tomorrow” may not be allowed. Your booking system or a text does that job better.
Training clients in India? The DMFast store takes bookings for 1-on-1 calls, free or paid through Razorpay, which suits a 15-minute consultation before the first session. Elsewhere, link the card to the booking page you already use.
Check these before you switch it on
- Gym rules. If you work in a gym you don't own, check what it allows: filming, bringing outside clients, and promoting your own business on its floor.
- Privacy. Health details are sensitive, and privacy rules differ by country. Keep them in your intake form, and never post a client's photo or lift without their consent.
- No promises. A first-session guide can say what you'll work on together. It shouldn't promise a weight, a dress size or a date.
- Instagram's limits. Each comment can get one private reply, within 7 days. Instagram caps an account at 750 private replies an hour, and DMFast stays under 700 by queuing any extra.
- Account type. Automation needs an Instagram Creator or Business account. Switching from a personal account is free and keeps your followers.

Questions people ask
Will it reply while I'm with a client?
Yes. Keyword replies, Story replies and mentions run whether your phone is in your pocket or your locker. You can pick any conversation up yourself later, in Instagram or in DMFast's inbox.
Can it book people straight into my diary?
Point the card at the booking page you already use, and people choose a time there. In India, the DMFast store can also take bookings for 1-on-1 calls, which works well for a consultation before someone's first session.
Can I message all my past clients about a new package?
Not in one go. Automated DMs only reach someone who messaged you in the last 24 hours, and official tools can't send mass DMs. Post the package as a Story with a reply word instead; anyone who answers gets the details at once.
Someone asked about their knee. What will the automation say?
Only what you've set up. Keyword replies send your fixed message. AI replies, on the Growth and Business plans, stick to the information you give them and say someone will follow up when the answer isn't there. Answer injury questions yourself, and suggest a physio or doctor.
I'm a mobile trainer without a gym. Does this still work?
Yes. Nothing here depends on a venue. Rewrite the START guide to explain where sessions happen, such as the client's home or a local park, and what equipment you bring.
Does it work with a Facebook Page too?
Yes: comments on your Page's posts and messages in Messenger get the same keyword replies. Story replies and “Only send to followers” are Instagram-only, so the SLOTS and tag set-ups stay on Instagram.
