    A cancellation at noon is an empty room by three unless someone fills it. Followers who reply to the Story get the link at once, because they messaged first, and the booking page settles who gets the slot. Edit the message every time you post, and take the Story down once the slot has gone.

    At many spas, weekends fill first and weekday afternoons are the hardest to sell. A guest who tags you has just enjoyed a visit and knows the way, so a midweek offer fills quiet days without discounting Saturdays. With their OK, you can add their Story to your own as well.

What guests ask a spa, sorted by who should answer

Spa messages bunch up in the evenings and at weekends, when people plan a treat or buy a present, which are exactly the hours reception is busy or closed. Most have a fixed answer that can go out at once. The rest belong with a therapist or a manager.

Fine to send automatically

  • “What's the difference between Swedish and deep tissue?” MENU, with the pressure of each.
  • “Can I ask for a female therapist?” Explain how to request one on the MENU card, and give the booking form a place for it.
  • “Is there parking? What should I bring?” Both go on the DAYPASS card.
  • “Do you do gift vouchers?” VOUCHER, with how long they're valid.
  • “Anything free this afternoon?” The TODAY Story, whenever a slot opens.

Pass to a therapist or manager

  • Health questions: pregnancy, recent surgery, blood clots, heart conditions or cancer treatment. Some need a doctor's go-ahead or a specially trained therapist, so reply in person.
  • Voucher balances, expired vouchers and refunds. DMFast can't see your voucher system, so a person has to check the code.
  • Complaints about a treatment, and anything a guest tells you about how they felt during one.

Tip: Massage businesses sometimes get messages asking for services no legitimate studio offers. Keyword replies only send what you wrote, and AI replies stick to your business information, so neither will play along. Block and report the account rather than replying.

The spa year, and when each word earns its keep

  • November and December: voucher season. Have VOUCHER live before the first gift post, and put the last posting date for printed cards on the voucher page.
  • January and February: Christmas vouchers come back to be spent, and Valentine's Day follows. Switch COUPLES on by mid-January.
  • Mother's Day: Mothering Sunday in the UK falls in Lent, usually in March, while the US, Canada, India and Australia celebrate on the second Sunday of May. Run VOUCHER again a few weeks before yours.
  • Spring and summer: hen parties and bridal showers. Organisers plan months ahead, so GROUPS should be live well before the season starts.
  • All year: weekday afternoons are the slots to fill. Post a TODAY Story whenever a cancellation comes in, and keep the midweek offer on the mention reply.

Tip: Don't use GROUP as the keyword. “Sending this to the group chat” is a common comment under spa posts, and every one of those people would get your private-hire terms. GROUPS, with the S, only fires on that exact word.

Group bookings, from comment to deposit

  1. Someone comments GROUPS under a Reel of the relaxation room set up for a party. The first DM asks how many guests and which month.
  2. Once they reply, the card opens your group enquiry form, with the minimum numbers and the deposit.
  3. Collect each guest's health questions on your own consultation form or by email, not in Instagram DMs.
  4. Organisers often go quiet while they ask the group. DMFast can send one reminder if they stop halfway, and with email capture switched on you can still reach them once the 24-hour messaging window has closed.

Claims, licences and health forms

  • Describe the treatment and how it feels. Saying a massage cures back pain, or that a wrap detoxes the body, is a health claim, and advertising rules in many countries ask for proof you're unlikely to have.
  • Licences: most US states license massage therapists, and some want the number in your adverts. Florida, for one, requires a licence number in any advert for massage, online ones included. Check your state board or local rules.
  • Health forms belong in your booking system or on paper. Keep conditions, medication and pregnancy details out of Instagram DMs, and follow your country's privacy rules for storing them.
  • Instagram lets you answer each comment privately once, within 7 days. On paid plans, DMFast can still reach comments from that week that arrived before you set a word up.
  • Going Live from the relaxation room? Comments made during an Instagram Live can only get a private reply while it's running, so set the word up before you start.

Can it check whether a gift voucher is still valid?

No. DMFast doesn't connect to your booking or voucher system, so it can't look up a code. The VOUCHER card can explain your terms, and anyone asking about a particular voucher should hear from someone who can check it.

How long do our vouchers have to last?

That depends on where you trade. In the US, federal rules generally stop a gift card or certificate sold for a set amount from expiring within five years, and some states go further. Rules elsewhere differ, so check yours before you print a date on the card.

Can the auto-reply recommend a treatment?

Keyword replies send the same message to everyone, so write the MENU card to help people choose for themselves. On the Growth and Business plans, AI replies can answer “which massage is gentlest?” from the menu notes you provide, at one credit per reply. Anything about a health condition should come from a therapist.

We're a one-therapist studio. Is this worth setting up?

Often more than for a big spa. With nobody on reception, every booking question waits until a treatment ends, and someone who wanted a massage tonight may have booked elsewhere by then. A MENU keyword and a TODAY Story cover most of what a solo therapist types by hand.

Can I message everyone who bought a voucher last Christmas?

Instagram won't let you. A business can only message someone automatically within a day of their last message to it, and bulk DMs aren't possible through official tools. Use the emails you took when the vouchers were sold, or post a Story with a reply word and answer whoever responds.
