Instagram auto-replies for wedding planners

On a wedding Saturday a planner is on site from breakfast to the last dance, and enquiries keep arriving. Instagram DM automation answers them: couples who comment or message a word such as PACKAGES, CHECKLIST or BUDGET get your guide by DM straight away, and anything that needs a planner's judgement waits for you.

Comment words for wedding planners

Ask people to comment one word in your caption or video. Each word sends something different.

CHECKLIST
A month-by-month planning checklist that starts a year out, with the bookings that fill up first at the top.
BUDGET
A budget spreadsheet split by category, with columns for quotes, deposits paid and balances due.
VENUE
The questions to ask before signing with a venue: capacity, curfew, noise limits, corkage, exclusive use and the wet-weather plan.
DESTINATION
A guide to marrying abroad: how far ahead to book, the legal paperwork, guest travel and working with local suppliers.
RSVP
An RSVP tracker for meal choices, dietary needs, plus-ones and the guests who still haven't replied.
SEATING
A seating plan template, with tips for tricky tables such as separated parents and the friend who knows nobody.
VENDOR
For suppliers, not couples: how to join your recommended list, what you look for and the form to apply with.

4 set-ups to try

Each one shows the conversation it creates. After a comment, the first DM is plain text, as Meta requires, and the link follows once they answer.

  • Packages for “what do you charge?” messages

PACKAGESCongratulations, and thanks for getting in touch. Do you have a date and venue yet, and roughly how many guests? The guide below explains full planning, partial planning and on-the-day coordination, with where each starts.Planning packages and feesSee packages

Many couples don't know the difference between full planning and coordination until someone explains it. The guide does that before your first call, and date, venue and guest count are the three facts you need to judge fit. Add PRICE, FEES and COORDINATION to the same auto-reply.

Happy planning, the checklist is in your inbox 🤍

    First DM (plain text)

Congratulations on the engagement. The checklist runs month by month, from booking the venue to the week of the wedding. When is your date? Reply with the month and year, and I'll point out where you should be up to.Yes pleaseMonth-by-month wedding checklistGet the checklist

Couples save checklists in the first weeks of being engaged, often before they've thought about hiring a planner. The date in their reply tells you whether full planning is still realistic or coordination fits better, and email capture keeps the door open for the months ahead.

  • Budget spreadsheet from a Story question

BUDGETHave you settled on a total yet, or is it still a rough idea? Either way, the spreadsheet below splits a wedding budget by category, with columns for quotes, deposits and what's left to pay.Wedding budget spreadsheetGet the spreadsheet

Budget posts get saved and sent between partners and parents. A Story reply is a conversation the couple started, so the spreadsheet arrives with the first message, and whether they have a fixed total tells you if they're ready to hear about your fees.

  • Destination guide from a wedding abroad

    Guide's in your DMs ✈️

    First DM (plain text)

Thanks for watching. The guide covers how far ahead to book, the legal paperwork, getting guests there and working with local suppliers. Which country or region are you dreaming of? Reply and I'll send it.Yes pleasePlanning a wedding abroadRead the guide

Couples marrying abroad can't drop in on suppliers at weekends, so a planner matters more to them than to most. The place they name tells you which country's paperwork and seasons to talk about, and some will learn from the guide that a legal ceremony at home is the simpler route.

What couples ask a wedding planner in DMs

Planner enquiries come in two kinds: newly engaged couples who want to know what a planner actually does, and couples a few months out who need help now. The first group wants a guide. The second needs you, so the first reply should tell anyone with a close date how to reach you quickly.

They askSend automaticallyAnswer yourself when
What do you charge?PACKAGES, with where prices startThey want a mix, such as styling only
Our venue has a coordinator. Do we still need you?A page on what you do that a venue coordinator doesn'tThey share what the venue includes and ask you to compare
Are you free on our date?A request for the date, venue and guest countAlways: only you know your diary and your team
Can you work with our budget? The BUDGET spreadsheetAlways: a budget needs a real conversation
Do you plan weddings abroad? The DESTINATION guideIt's a country you haven't worked in before
Can you recommend a photographer?Nothing: your recommendations are part of what couples pay forThey've booked you, so send your shortlist

Tip: Weekends are wedding days. A Saturday enquiry still gets PACKAGES within seconds, and a line saying you reply personally on Mondays tells the couple when to expect you.

Posts that start planning conversations

  • A “12 months to go” carousel with the first five bookings to make, and CHECKLIST for the rest.
  • A real wedding, shared with the couple's permission and every supplier credited in the caption, with PACKAGES.
  • The seating plan for 120 guests coming together on a whiteboard, with SEATING for the template.
  • A venue walk-through asking the questions couples forget, such as the curfew and the wet-weather plan, with VENUE.
  • A destination wedding from welcome drinks to farewell brunch, with DESTINATION.
  • Your emergency kit unpacked on a wedding morning. Posts like this show what a planner does better than any list of services.

Tip: Under real-wedding posts, “where is this?” is a common comment. Name and tag the venue in the caption so it never needs an answer, and save VENUE for posts about choosing one.

Engagement season, wedding fairs and the wedding week in India

  • January to March: many couples get engaged over Christmas, at New Year or on Valentine's Day, so the first months of the year bring a rush of first enquiries. Set PACKAGES and CHECKLIST up in December.
  • Wedding fairs: post a Story on the day with BUDGET in the text, so couples who took your card can get the spreadsheet without hunting for you.
  • Peak season: Saturdays on site, Sundays recovering. Keep the auto-replies on, and on the Growth or Business plan let AI replies handle questions your guide doesn't cover, using only the information you give them.
  • The final months: couples who planned alone often look for on-the-day help close to the date. A coordination-only option on the PACKAGES card catches them.

In India, a planner often runs a whole wedding week: mehendi, haldi, sangeet, the ceremony and a reception, each with its own decor, guest list and suppliers. Dates follow auspicious days that move from year to year, so check each new calendar before planning your busy months. Price per function on the PACKAGES card, and offer the function planner as a lead magnet.

Suppliers, teams and privacy

  • Suppliers pitch planners all the time. Add “Suppliers: DM VENDOR” to a Story highlight, and the application form goes to them while couples' enquiries stay easy to find.
  • Running a team? The Business plan has 5 seats, so a coordinator can answer the inbox while the lead planner is on site.
  • Ask before you post. Some couples want nothing online until they've shared their own photos, some weddings are private by design, and guests' children need particular care.
  • Parents often help plan and pay, especially in India, and some will find you on Facebook rather than Instagram. DMFast answers comments on your Facebook Page and messages to it in Messenger with the same words, though not posts in Facebook Groups.
  • Meta's rules still apply: one private reply per comment within 7 days, and no automated message more than 24 hours after a couple's last one. Planning that runs for months belongs in email and calls.

Questions people ask

Can I message every couple who asked about next year when I open bookings?

Not by DM. Automated messages only reach someone within 24 hours of their last message, and official tools can't message everyone at once. Turn on email capture for CHECKLIST and BUDGET, download the list as a CSV, and announce new dates by email and with a Story that has a reply word.

Can I set up a keyword for one wedding's guests?

Yes, as a DM keyword such as the couple's first names run together, sending the timings and dress code by card. Treat it as public, since anyone who sends the word gets the reply: link to a password-protected wedding website rather than writing out the address of a private home.

Can couples book and pay for a consultation through DMFast?

In India, yes: the DMFast store takes bookings for free or paid 1-on-1 calls, with payments through Razorpay and no DMFast fee on sales, and it can give away the budget spreadsheet in exchange for an email and phone number. Elsewhere, point the card at the booking page you already use.

I only do on-the-day coordination. Is this worth setting up?

Yes, with fewer words. PACKAGES can explain your coordination fee and what it covers, a run-of-day template makes a good freebie, and a Story every few weeks aimed at couples within three months of their date reaches the people most likely to book.
