Instagram auto-replies for social media managers
A social media manager has two inboxes to think about: their own, full of “what do you charge?”, and their clients’, full of “is this still available?”. Comment-to-DM can run on both. This page covers the words that win clients and how to set the same flows up for the businesses you manage.

Comment words for social media managers
Ask people to comment one word in your caption or video. Each word sends something different.
- RATES
- How you charge: monthly retainers by number of posts, or a flat package, what is included and what a client pays extra for, like ads or a shoot.
- CALENDAR
- A blank month of content planning with slots for Reels, carousels and Stories, plus the posting rhythm you suggest for a small local business.
- AUDIT
- Your checklist for reviewing a client’s profile: bio, highlights, pinned posts, link, reply speed and the last ten posts.
- HOOKS
- A bank of opening lines for Reels, grouped by what the video is about, with the reason each one keeps people watching.
- REPORT
- A sample monthly report: which numbers you include, which ones you ignore, and what you say when reach drops.
- ONBOARD
- The questions you ask a new client before the first post: brand voice, who answers messages, what you may never say, and who approves.
4 set-ups to try
Each one shows the conversation it creates. After a comment, the first DM is plain text, as Meta requires, and the link follows once they answer.

Thanks for commenting. What kind of business is the calendar for? The business type tells you who is a fit for your packages and who is a student or a colleague.
Rate questions that arrive in DMs
RATESThanks for getting in touch. How many accounts would you like managed, and how often do you want to post? Send me those two things and I’ll share how my packages are priced.Management packages and what each includesSee packagesA manager cannot quote “how much” without knowing the number of accounts and posts. Asking both in the first reply makes the rate a conversation about scope, and keeps out people who want one post for a small fee.

What people ask a social media manager in DMs
Two groups message you: businesses deciding whether to hire a manager, and people who want free advice. The first group needs a reply that moves toward a call. The second group needs a freebie that is useful and ends there.
| The message | Reply with a card | Answer by hand when |
|---|---|---|
| What do you charge? | The RATES card, after asking about accounts and posting rhythm | They have several brands or want ads managed too |
| Can you grow my page? | A plain note on what you do and do not control, with the AUDIT checklist | They ask for follower numbers or a guarantee: say you cannot promise either |
| Do you do Reels? | The portfolio card and a question about the business | They want filming on location |
| Can you run my DMs? | A reply explaining that you set up auto-replies and handle the rest with them | They want you to answer on their behalf: agree who approves what |
| Can I try you for a month? | The ONBOARD questions | You offer a trial: say what it includes and ends |
Tip: A prospect who asks for guaranteed followers or likes is worth a personal reply. Say plainly that nobody can promise those numbers, and describe what you can promise: posting on schedule and replying within a set time.
Posts that earn comments for a manager
- A screen recording of a monthly plan being filled in, with CALENDAR in the caption.
- A carousel of ten openings that worked and three that did not, with HOOKS for the whole bank.
- A before-and-after of a client’s profile, shown with permission, with AUDIT for the checklist.
- A Story showing how you answer a slow week in a monthly report, with REPORT for the template.
- A short Reel on the first week with a new client, with ONBOARD for the questionnaire.
Managers often find that January, the weeks before a trading season and the months after a bad quarter bring the most enquiries. Check your own inbox history, then put the matching word live a few weeks before.
Using it on a client’s account
- Agree in writing that you are connecting their professional account, what you will set up and who owns the data and the email list.
- Write each first DM in the client’s voice, with the client’s facts, and have them approve it before it goes live.
- Write down who answers when a person replies with a complaint, a refund or an urgent question. Automation never covers those.
- Check the account’s settings: an Instagram personal account cannot use messaging automation, and each client must switch to Business or Creator.
- Send a month-end note with how many people replied and what they asked, so the client sees the value without any sales language.
If you run several accounts, check which plan covers the number of accounts and team seats you need before you promise it to clients. If your client is in India, the DMFast store can sell their digital products and take bookings, with payments through Razorpay.
Things to watch
- Client data. Emails collected on a client’s account belong to that client unless your contract says otherwise.
- Disclosure. If you post a promotion or a paid partnership on a client’s behalf, advertising rules in your country may require a label.
- Promises. Do not promise follower counts, sales or reach. Promise what you do: schedule, replies and reports.
- Credentials. Use the client’s own login or permissions as Meta’s tools allow, never a shared password in a message.
- Meta’s limits. One private reply per comment, within 7 days, and automated messages only reach someone within 24 hours of their last message.

Questions people ask
Can I run comment-to-DM on a client’s account?
Yes, if it is a professional account (Business or Creator) or a Facebook Page and the owner connects it with their permission. Agree in writing what you will set up and who owns the email list. Personal Instagram accounts cannot use the messaging tools.
Will clients’ followers know a tool is replying?
The message comes from the client’s account, and it only sends what you wrote. Write it in their voice and say what happens next. If an AI reply is sent on the Growth or Business plans, tell the client, and write in the info that complaints go to a person.
Can I DM everyone who followed a client’s account this month?
No. Meta’s official tools do not allow mass DMs to followers. Automated messages go to people who commented a keyword, replied to a Story or sent a message within the last 24 hours. For a wider reach, use the email list the freebies build.
Why does the first DM after a comment ask a question?
Instagram allows plain text only in the first private message to a commenter, with no links or buttons. The question gives the person a way to answer, and once they do, the card or link can follow. This applies equally to your clients’ accounts.
