Instagram auto-replies for accountants and bookkeepers

An accountant posts a Reel about a filing date and the comments fill with “what about me?” and “how much do you charge?”. Comment-to-DM answers with a checklist or a fee question, so enquiries arrive with the facts you need. It gives no tax advice: the replies are only what you wrote.

Comment words for accountants and bookkeepers

Ask people to comment one word in your caption or video. Each word sends something different.

DEADLINES
A one-page list of the filing, payment and payroll dates to put in a calendar, with a note that the exact dates depend on the country and the type of business.
RECEIPTS
How to keep receipts and invoices so month-end takes an hour, not a weekend: folder names, what to photograph and what to bin.
QUOTE
How you price your work, such as a fixed monthly fee for bookkeeping, and the three things you ask before you quote.
STARTUP
The first-90-days checklist for a new business: separate bank account, record-keeping set-up and the registrations to look into.
YEAREND
The list of documents you collect from clients before the books are closed, so nobody is chased in the last week.
PAYROLL
What you need to hand over to run payroll: starter details, hours, leave and the dates you need them by each month.
EXPENSES
A plain-language sheet on tracking everyday business costs, with the questions to ask a professional before claiming anything unusual.

4 set-ups to try

Each one shows the conversation it creates. After a comment, the first DM is plain text, as Meta requires, and the link follows once they answer.

  • Filing dates from a “three dates people forget” Reel

    Someone comments on your post

    DEADLINES

    Public reply under their comment

Sent, the date list is in your DMs 📅

    First DM (plain text)

Thanks for the comment. Which country do you file your taxes in, and is it for yourself or a company? Reply and I'll send the list of dates to put in your calendar.Yes pleaseFiling and payment dates checklistGet the list

Deadlines differ by country and by business type, so a single list would be wrong for half the people who comment. The first DM asks where they file, which also tells you whether this person is someone you can serve.

  • Year-end documents for clients and soon-to-be clients

    Someone comments on your post

    YEAREND

    Public reply under their comment

On its way, check your messages 📂

    First DM (plain text)

Thanks for commenting. Do you keep your own books, or does someone else do them for you? Reply and I'll send the checklist of what an accountant needs from you before the year closes.Yes pleaseYear-end document checklistSee the checklist

The question separates people who need a bookkeeper from people who only need an accountant at year-end. You see that before you reply by hand, and the checklist is useful to anyone, client or not.

  • Fee questions that arrive as a DM

QUOTEThanks for asking about fees. Roughly how many invoices or bank transactions does your business have in a month, and is it registered as a company? Reply and I'll send how we price. How our fees workSee pricing

Fee enquiries are the most common first message an accounting practice gets. Volume and business type are the two facts that decide the price, so asking for them first means your own reply can include a real figure.

  • Receipt habits from a Story poll

    Replied to your story

RECEIPTSHa, a shoebox is a start. Do you photograph receipts as you go, or sort them at the end of the month? Reply and I'll send the simple filing routine that clients of ours use.A 10-minute receipt routineGet the routine

A Story poll such as “shoebox or app?” gets replies from small-business owners at the exact moment they feel the pain. They messaged first, so the card can follow straight after your first message.

What people ask an accountant in DMs

Business owners message an accountant when something is due or something has gone wrong, often in the evening after the shop has closed. Automate the questions that have a fixed answer. Leave anything that touches a person’s own figures to a person.

Tip: On the Growth and Business plans, AI replies write only from the information you provide. Tell it that questions about a person’s own tax or what they may claim get a personal answer, and it can say you will reply rather than guess.

Posts that earn comments for an accounting practice

  • A Reel showing a messy receipt pile and the same pile sorted in 90 seconds, with RECEIPTS for the routine.
  • A carousel of what a bookkeeper actually does in a month, with QUOTE for how you price it.
  • A short talk-to-camera on the three dates that cause the most late filings among your clients, with DEADLINES for the list.
  • A Story asking owners of new businesses what confused them most in the first month, with STARTUP in the reply.
  • A behind-the-scenes shot of the document pile before a year-end close, with YEAREND for the checklist.
  • A post explaining payroll in plain words for a first hire, with PAYROLL for the hand-over sheet.

Accountants have a clear calendar. The weeks before a filing date bring a wave of questions, and the weeks after it bring complaints and late filers. Switch on the matching word two or three weeks before each date, and use the Story reply for the days nearer to it, when people respond in minutes.

From a comment to an engagement

  1. The first DM asks for the one or two facts that decide whether you can help: country, business type, volume of transactions.
  2. The card opens a page with the checklist and a way to book a call or fill in an enquiry form. DMFast does not read your practice software.
  3. Offer the year-end checklist for an email. Export the list as a CSV before each filing season and write to it from your own email tool.
  4. Use the single reminder on the quote set-up, since people often ask for a price and then get busy.
  5. Reply by hand to anyone who mentions a late return, a letter from a tax office or a sale of a business. Those are your most valuable and most urgent messages.

If you practise in India, the DMFast store can sell a template pack or a short course as a digital product, hand out a checklist for an email and take free or paid 1-on-1 calls, with payments through Razorpay. Your fees and engagement letters stay in your own systems.

Rules and risks to check

  • No advice in automated replies. A reply that tells a stranger what they can claim, or which structure to choose, can be advice given without knowing their facts. Keep the automatic messages to checklists, dates in general terms and how you work.
  • Dates and rates change and differ by country. Write “check the date for your country” and link to the official source for the place you serve, rather than quoting a figure from memory.
  • Professional rules. Many countries regulate who may call themselves an accountant and how they may advertise. Check your professional body’s rules on advertising and on testimonials before you post client results.
  • Client confidentiality. Do not show a client’s books, name or figures in a post without consent, and keep tax numbers, bank details and ID photos out of DMs.
  • Meta’s limits. One private reply per comment, within 7 days, and automated messages only reach someone within 24 hours of their last message.

Questions people ask

Can the automatic reply tell people what they can claim?

It should not. What someone may claim depends on their own circumstances and the rules of their country, so a general answer can mislead. Use the automation for checklists, how you price and how to book, and have a person answer anything about a client’s own figures.

Can the first DM include my engagement page?

Not after a comment. Instagram allows only plain text as the first private message to a commenter, so ask a short question, such as which country they file in, and DMFast sends the card with the link once they reply.

Can I message my clients when the filing season starts?

Not through Instagram. Automated messages only go to people who wrote to you in the last 24 hours, and official tools do not send mass DMs. Collect emails with a lead magnet and write to that list from your own email tool, within your local marketing rules.

Should clients send me documents over Instagram?

It is better not to. Tell people in the first reply where to send documents securely, such as a client portal or your usual secure email, and keep tax numbers, bank statements and ID out of the thread.

Does it work with a Facebook Page for my practice?

Yes. Comments on Page posts and Messenger messages get the same keyword replies. Story replies and the follower gate are Instagram only, and it does not work with WhatsApp, personal Instagram accounts or Threads.
