Instagram auto-replies for CrossFit boxes
A box gets the same questions all week: how does a first class work, can I drop in while I'm in town, what's the workout today. Comment-to-DM answers them while the coach is mid-class and the phone is in the office. Below are the words, four set-ups, freebies and what to check.

Comment words for CrossFit boxes
Ask people to comment one word in your caption or video. Each word sends something different.
- ONRAMP
- Your beginner course before regular classes: how many sessions, which days, which movements it covers, how scaling works and the price.
- DROPIN
- Rules for visiting athletes: which classes take drop-ins, the fee, the waiver link and what to bring when you train at another box.
- WOD
- The workout from the post they just saw, written out with the scaling options for each movement and the time cap.
- OPEN
- How your box runs the Open: the sign-up page, the heat times, who judges, whether you run team heats and the registration cut-off.
- SCALING
- A guide to scaling a workout, such as ring rows for pull-ups and step-ups for box jumps, so newcomers see nothing is out of reach.
- KIDS
- Kids' and teens' classes: the age groups, the days, how many coaches are on the floor, the price and the form a parent signs.
- OPENGYM
- The hours members can train without a class, whether a coach is on the floor, what membership it needs and the barbell rules.
- PRICES
- Unlimited and class-pack memberships, the on-ramp fee, the contract length and how freezing a membership works.

What athletes ask a box in DMs
The questions come from three kinds of people: newcomers wondering if they're fit enough, visitors who train elsewhere, and members with a quick question. Send the answers that never change, and keep anything that needs a coach's eye.

Tip: Many people think a box is only for athletes. Put “every workout is scaled to the person” near the top of the first card, and make sure it is true of how your coaches work.
Posts that bring in people who actually show up

- Two members on the same workout, one on pull-ups and one on ring rows, shown with permission, with SCALING.
- A Friday Story of the weekend partner workout, with WOD so people get the scaled version.
- A summer “visiting? come and train” Reel, with DROPIN for the rules.
- The Open announcement and registration date, with OPEN.
- A kids' class clip, with faces shown only where a parent agreed in writing, and KIDS for the age groups.
Enquiries spike in January and after the Open, when people who watched a friend compete decide to try it. The Open runs once a year in the early months, but check CrossFit's own site for the dates rather than guessing. Visitors arrive around summer and Christmas, so have DROPIN live before then.
From enquiry to booked on-ramp
- The first DM asks one thing: their experience, the dates they're in town or whether they've trained at your box.
- The card opens your on-ramp booking page or a call form. DMFast doesn't hold places or check class capacity, so say on that page that a place is held only once you confirm it.
- Turn on email capture for the scaling guide or the benchmark sheet and export the list as a CSV, so you can email the next on-ramp start date.
- Switch on the reminder for people who answered the first question and went quiet, so the start date doesn't pass them by.
A box in India can use the DMFast store to sell a programming plan as a digital product, give a freebie for an email, and take free or paid 1-on-1 bookings such as an intro call with a coach. Payments go through Razorpay and DMFast takes no fee on sales. Memberships stay in your own gym software.
Rules and risks for a box
- The CrossFit name. Affiliates use it under licence terms, so read your affiliate agreement before putting the name or logo on a card, a freebie or a paid product.
- Injury. Barbell and gymnastics work carries risk. Never let a reply advise on a sore shoulder or a recent surgery: send people to the intro call and their doctor.
- Waivers. Link the card to your own waiver form. Signing and storing it happen there, not in a DM, and the rules on waivers differ by country.
- Results. Do not promise fat loss or a time for a first pull-up. Say what the class involves.
- Members' videos. A PR clip shows a person, and sometimes their kids on the sideline. Ask before posting.
- Children. Instagram accounts are for people aged 13 and over, so messages about a young child come from a parent. Get a guardian's written consent for any child you show.
- Limits. Each comment gets one private reply, within 7 days, and Instagram allows 750 an hour per account. DMFast stays under 700 and queues the rest.
Tip: WOD turns up in plain comments such as “great WOD today”. Attach it to one post, so remarks on your other posts don't trigger a DM.

Can it check that a visitor really trains at another box?
No. DMFast can't verify a membership. The first message asks for their home box and dates, and your coach confirms in person, the way you would for any drop-in at the door.
Can it collect the waiver?
The card can open your waiver form once the person replies, but signing and storing it happen on that page. DMFast doesn't hold signed documents, so check that your form records a date and a name.
Can I send the workout of the day to everyone every morning?
Not as a DM. Automated messages reach only people who wrote to you in the last 24 hours, and official tools don't allow mass DMs. Post it as a Story with a reply word, and everyone who answers gets the scaled version.
Members comment WOD every day. Do they get a DM each time?
Each person is answered once a day per auto-reply. That means a member who comments twice on one post gets one message, and link-only or promo comments are skipped.
Does it work for a box with a Facebook Page?
Yes. Comments on Page posts and Messenger messages can get the same keyword replies. Story replies and the follower gate exist only on Instagram, so the drop-in Story set-up stays there.
