Turn Instagram DMs into webinar sign-ups

To get webinar sign-ups from Instagram, send the registration link by DM to people who reply to a Story or comment a word, and answer their first questions right there: when, how long, and is there a replay. The 12 templates below cover that chat. Reminders are a separate job: an automated DM can't reach people a week later, so let your webinar tool send them by email.

  • First DM after a comment

    Put the date and length in this first message. People decide whether they can make it before they decide to sign up.

  • The registration link

    Here's where to sign up: {link} Your confirmation email has the joining link, so if it hasn't arrived within a few minutes, look in your spam or promotions folder.

    Saying where the confirmation lands saves a “did it work?” message later.

  • What time is that for me?

    It starts at {time}. Tell me which city you're in and I'll send you the local time, so you don't have to work it out.

    Write the zone into the time, like “7pm IST”. 7pm in Delhi is 5:30pm in Dubai, and a wrong guess means arriving as you say goodbye.

  • Is it free?

    Yes, it's free. At the end I'll mention my paid programme for anyone who wants to go further, but the class stands on its own, and you're welcome to leave before that part.

    If there's an offer at the end, say so now. It's better than a room full of people who feel caught out at minute 50.

  • Yes, there's a replay

    There is: everyone who registers gets the recording by email afterwards. So sign up even if you can't make it live: {link}

    Registering is how people get the replay, so this answer turns “I can't make that time” into a sign-up.

  • No, it's live only

    This one is live only, with no recording, because most of the hour is answering questions as they come in. If {time} doesn't suit you, the next date will be on my profile as soon as it's set.

    Give the reason. Without one, people assume a recording exists and is being kept back.

  • Registered, but no email

    Sorry about that. The confirmation comes from our webinar platform, not from Instagram, so check spam and promotions first. Still nothing? Send me the address you used and I'll look up your registration.

    Ask for the address in the same message. It's the one detail you need to find them.

    The answers show you what to cover, and a question they're waiting on gives them a reason to turn up.

    Set it as the automatic answer to a Story you post an hour before, asking people to reply LINK. Their reply is a message, so the link goes out straight away.

  • The replay, afterwards

    Send it to anyone who messages you after the class. Everyone who registered should get it by email too, since not all of them will write.

A Story reply counts as messaging you, so there's no YES step: the answer and the sign-up card go out together, inside the 24 hours the reply opened. Do set the word. With none, every reply to every Story you post would get the webinar link.

Rules to know

  1. A reply to your Story arrives as a message, and it opens 24 hours in which automated answers, links included, can be sent.
  2. Comments on a Reel work differently: each one gets a single private reply within 7 days, and the sign-up link can only follow once the person answers it.
  3. Comments made during an Instagram Live can only get a private reply while the broadcast is running, so a keyword you announce live has to be answered before you end.
  4. Reminders a day or a week later can't go by automated DM unless the person has messaged you in the previous 24 hours.
  5. On Instagram, the one way past 24 hours is Meta's human agent tag: a person replying by hand within 7 days of the last message. It covers answering questions, not promoting a class.

Let your webinar tool do the reminding

Instagram is good at the first step. A Reel or a Story makes someone curious, and a DM puts the sign-up page in front of them within seconds. What it can't do is bring them back on the day: if the class is a week away, their last message will be days old by then, and no auto-reply can write to them.

So the DM's job is to hand people over to something that can remind them. The registration page collects the email, and the webinar tool's emails do the rest. Before you promote the class, check these are switched on:

  • A confirmation email with the joining link and an add-to-calendar option.
  • A reminder the day before and another shortly before you start, if your tool offers both.
  • A replay email afterwards, if there will be a replay.

Tip: Running it as an Instagram Live with no sign-up page? Collect emails in the DM instead. DMFast can ask for the address in the chat and export the list as a CSV for your reminder email.

What people need to know before they register

Five details decide whether someone signs up. Put them in the first DM or at the top of the registration page, so nobody has to ask.

  • The day as well as the date. “Thursday” is easier to remember than “the 12th”.
  • The time with its zone, or two zones if your audience is split between countries.
  • How long it runs. Forty-five minutes and two hours are different decisions.
  • Whether there's a replay, and how long it stays up.
  • Whether it's free, and whether you'll sell something at the end.

Hosting the class on Instagram Live

Running the class as an Instagram Live keeps everything in one app, with one catch for DMs: comments made during a Live can only get a private reply while you're still broadcasting. Say “comment NOTES and I'll send the slides”, and every one of those replies has to go out before you end.

Instagram also allows at most 750 private replies to comments an hour per account, and DMFast stays under 700. On a busy Live, ask for the keyword early rather than in your last minute, and keep broadcasting for a few minutes after you last mention it.

What to measure

Track each step on its own: Story replies or comments, taps on the sign-up link, registrations, live attendees and replay views. A tracked link in the DM tells you how many taps came from Instagram.

  • Plenty of taps, few registrations: the sign-up page asks for too much, or its date doesn't match your post.
  • Plenty of registrations, few attendees: the reminder emails aren't arriving, or the time doesn't suit your audience.
  • Few replies to the first DM after a comment: the question at the end is vague, or missing.

Questions people ask

Can I send webinar reminders by Instagram DM?

Only to people who've messaged you in the last 24 hours, if the reminder is automated. Everyone else should get it by email from your webinar tool. A Story shortly before you start, asking people to reply for the link, catches followers who never registered.

Should the DM ask for an email or send the registration link?

Send the link when your webinar tool has a registration page. Asking for the email in the DM and again on the page makes people type it twice. Ask in the DM only when there's no page, for example when the class is an Instagram Live.

Which word should people reply or comment?

A short one tied to the class that nobody writes by accident, like SEAT or CLASS. Words such as LIVE or YES turn up in everyday replies (“I live in Leeds”) and would send the link to people who never asked.

Can the DM register people for me?

Not in the webinar tool itself. In DMFast, emails collected in the chat are saved as leads you can export as a CSV and import into the tool, if it accepts lists. Sending the registration link is usually simpler.

What should people who comment after the webinar get?

The replay, if there is one, once they answer the first DM. If there isn't, change the auto-reply the day after the class so late commenters hear about the next date instead of a sign-up page for one that's over.
