Apologise for a slow reply in Instagram DMs

Say sorry in a few words and answer their question in the same message, so the apology isn't all they get. Match the wording to the gap: a few hours late needs a light touch, a week late needs a plain admission.   • A few hours late

    When the gap is a few hours, one short clause of sorry is plenty. Get to the answer: it's what they were waiting for.

  • The next day

    Sorry I didn't reply yesterday, {name}. To answer your question: delivery to {city} takes two to three working days, and it's free on orders over {price}. Would you like me to check stock for you?

    If their message is more than 24 hours old, an automation can no longer send this. Type it in the Instagram app instead.

  • A week or more late

    I'm so sorry, {name}: your message slipped past me and I've only just seen it. In case it still helps, yes, we can make it in a larger size, and it takes about two weeks. If you've sorted it elsewhere in the meantime, I completely understand.

    Admit the miss plainly rather than blaming Instagram. After 7 days no tool built on Meta's API can answer at all, so this one goes from the app itself.

  • Found in message requests

    Sorry for the very late reply! Your message went into our requests folder and I've only just found it. You asked whether we ship to {country}: we do, and it usually takes about a week.

    Chats from people you don't follow can sit in requests, away from the main inbox. Look there every day, not once a month.

  • During a sale or launch rush

    Thanks for waiting, and sorry it's taken a while: we've had far more messages than usual since the sale started, and we're answering them in order. About your question: the blue one is back in stock on Thursday.

    One clause on why you're slow is enough. People forgive a rush, and they don't need the full story of your week.

  • After a closure

    Hi {name}, sorry for the silence: we were closed until {time} and I'm working through messages now. Do you still need help with this, or have you found what you were after?

    Asking whether they still need help lets them close the chat in a word. Some will have moved on, and that's fine.

  • It sold out while they waited

    I'm really sorry: by the time I replied, the {product} in your size had sold out. I can put your name down for the restock, or suggest something very close that's in stock now. Which would you prefer?

    This one is on you, not on their luck, so own it. Two options give them a way forward instead of a dead end.

  • Slow reply to a complaint

    I'm sorry you had to wait for an answer on top of the problem itself; that's two things we got wrong. I've sent a replacement by tracked post today, and the tracking number will reach your inbox tonight.

    A slow reply to a complaint becomes part of the complaint. Own both, then lead with the fix rather than the reason.

  • Late reply to a brand

    Thank you for your patience, and sorry for the slow reply. I'd still love to hear more. Is the campaign still open, and what timeline are you working to?

    Campaigns often move on quickly. Ask whether it's still open before sending rates, so neither of you spends time on a closed brief.

  • Private reply to a comment, days later

    Sorry for the slow reply to your comment! You asked whether the {product} comes in other colours, and it does, in three. Would you like the details here? Reply YES and I'll send them.

    Within 7 days of the comment you can still send one private reply. Keep it plain text and end on a question, since nothing else can follow until they answer.

  • Public reply to an old comment

    Sorry we missed this! Yes, it's back in stock. Send us a DM with the word LINK and we'll send it straight over.

    Comments more than 7 days old can't get a private reply. Invite them to DM a word instead, and set that word up as a DM keyword so the answer arrives the moment they send it.

  • After a wrong automatic answer

    Sorry about the automatic message you got earlier: it answered a different question from the one you asked. This is a real person now, and here's the actual answer: the workshop is on {time}, and there are four places left.

    Say clearly that a person has taken over. Then fix the keyword, or the business info your AI replies draw on, so the next person gets it right first time.

  • Still waiting on someone else

    Sorry I don't have an answer for you yet. I'm waiting to hear back from {supplier}, and I'll message you here by {time} either way, even if it's only to say there's no news.

    From their side, silence while you chase a supplier looks exactly like being ignored. An update with a time counts as a reply.

Rules to know

  1. Automated messages, including an apology sent by an auto-reply, can only go out within 24 hours of the person's last message.
  2. Between 24 hours and 7 days after their last message, Meta's human agent tag lets a real person answer a support question, in tools that offer it. It doesn't cover offers or automated replies.
  3. A reply typed in the Instagram app itself doesn't go through Meta's API, so those time limits don't apply to it. That's how to answer a message more than a week old.
  4. A comment can get one private reply, no later than 7 days after it was posted. After that, only a public reply under the comment is possible.
  5. Comments made during an Instagram Live can only get a private reply while the broadcast is still running, so answer Live questions on air or invite people to DM you.

Tip: Work through a backlog starting with the messages that are close to 24 hours old. Once they pass that mark, links and automatic flows are off the table and everything has to be typed by hand.

What to say, and what to leave out

A late reply has three jobs: own the delay, answer the question, and make the next step easy. The phrases people reach for out of habit tend to do none of them.

Over-apologising has a cost too. Three sentences of sorry before the answer make the delay sound bigger than it was, and push the useful part out of the notification preview.

Why messages get missed

  • Requests. Chats from people you don't follow can wait outside the main inbox until someone opens that folder.
  • Tabs. Professional accounts can sort chats into Primary and General, and a chat moved to General is easy to forget.
  • Shared logins. When three people check the inbox, each assumes one of the others answered.
  • Old posts. Comments on last month's post get less attention than this morning's DMs, and the 7-day private reply window runs out quietly.
  • Busy posts. Instagram caps private replies at 750 an hour per account. DMFast stays under 700 an hour and queues the rest, so when a post takes off, the last commenters can wait a while.

The simplest fix is an instant automatic first reply that says a message has arrived and when a person will answer. Then a reply three hours later is on time rather than late. In DMFast, a DM auto-reply with no keyword does this, and it answers each person once a day at most.

What to measure

Track how long people wait for a first answer from a person, and what share of chats get one within 24 hours. The second number matters because past that point, links, flows and offers can only go out by hand. If many of your late replies started in requests or comments, change where you look before you try to type faster.

Questions people ask

How do you say sorry for a late reply on Instagram?

Briefly, and in the same message as the answer: “Sorry for the slow reply! Yes, it comes in black.” A long apology with the answer saved for a second message reads worse than a short one. If you were only an hour or two late, you may not need to apologise at all.

Can I still reply to an Instagram DM that's weeks old?

Yes, from the Instagram app. Tools built on Meta's API can't: automated messages stop 24 hours after the person's last message, and a person using the human agent tag has up to 7 days. Open the chat on your phone and type the reply yourself.

What if I missed a comment asking a question?

If the comment is under 7 days old, send one private reply: plain text, ending with a question. If it's older, reply publicly under the comment and invite them to DM you a word. Their message starts a new conversation you can answer in full.

Should I explain why I was slow?

Only when the reason helps them, such as a closure date or a backlog after a sale. A detailed account of your week asks them to sympathise while they're still waiting for their answer. One clause is plenty.

How do I stop it happening again?

Set an automatic first reply that says when a person will answer, check message requests daily, and decide who owns the inbox when several people share it. A slow day then means a reply a little later than usual, not one that never comes.
